Exporting a bibliographic record from OCLC Connexion

  1. Install Connexion on your computer if necessary
    1. OCLC Connexion installation file: \\Smathersnt2r\Departments\RS
    2. Save file (Clientnet130) to a temporary folder
    3. Find and double click the setup file to install.
    4. If prompted, install for all users.
    5. Accept Defaults.

  2. Change your exporting settings to allow for records to be sent to ALEPH (see http://www.uflib.ufl.edu/catmet/committees/active/TSAlephIG/oclcsoftwarsettings.htm)
  3. If no record exists in OCLC Connexion, then create a PROVISIONAL record in OCLC
    1. Under the File menu choose Open Template (KS: Ctrl+A)
    2. Choose the UFSERIAL.MRC template and click on Open.
    3. Open the LDR and Tab Down to Sub field 17
    4. Insert the number 7 and click OK to close the LDR
    5. Fill in field 245 with the title of the item (required)
    6. Fill in field 310 with the frequency of the item (required)
    7. If you know anything else about the title then you may want to enter it now:
      • ISSN (022 field)
      • Internal staff notes
    8. Under the File menu choose Save record to server and local drive (KS: Alt+f, e)
    9. This will generate errors in Field 8, but clicking on Override will allow you to continue
    10. Copy down the system number to be used later when searching or overlaying
    11. When the piece comes in, search OCLC Connexion again; If a record is available then you can overlay the provisional record that was formerly created.
      1. Copy down the System No. of the record you wish to overlay
      2. Search for record in OCLC Connexion (see http://web.uflib.ufl.edu/rs/catpro/oclcsearching.html)
      3. Insert the Aleph system number into a 599 field; Do not save this edit!
      4. Now click on the Export buttonxport button on the toolbar
      5. A box will pop up confirming that a record has been sent to Aleph
      6. Close this box, Logoff and then close OCLC Connexion
      7. If OCLC Connexion asks if you would like to Save this record then click NO
      8. Look up your record by System No. in the ALEPH Cataloging module using “Search for an Administrative Record”
    12. Verify that the record has been properly overlaid
  4. When record is found either click on the small export buttonxport button or Type F5
  5. Click OK to allow processing to complete
  6. Close OCLC Connexion
