LOCATING RARE BOOKS

Everyone has probably noticed that the Cuban books without LC class numbers, and sometimes with, can be difficult to locate. They are a moving target. Although the instructions are primarily for the Cuban books, the procedures should work for everything. If you cannot locate the book after going through these steps, it is most likely that the book is misshelved. Then, contact Robert.

With LC classification number:

  1. If it has an LC class number, it should be on the shelf. Check the Hold and Reshelving shelves and the call slip box if it is not there. The Cuban books are and will be heavily used.
  2. If still not located, the cataloger could still have it or it could be on the Cataloged shelf for rare books in the processing area.
  3. There is a sheet on the bookcase for the rare book processing that we started using today. The sheet has three columns for tracking the books through the processing and cataloging procedures.

    To be Cataloged
    Notis Number
    Being Cataloged
    Notis Number

    The bookcase is divided like this:

    To be Processed To be Cataloged
    Supplies Cataloged
    Supplies Cataloged

    It lists the Notis numbers for what is on the To-be-processed, To-be-cataloged, and Cataloged shelves. You will need to go to LTUF to get the Notis number. If the number isn't in the Cataloged column, then the catalogers do not have it. If the catalogers have the book, contact Tatiana.

With a Notis number (like AMK4138)

  1. First check to see if it has been cataloged. Do this using LTUF. If it is a Cuban book, some people are pulling the numbers from the web page and not checking in Luis to see if it has been cataloged, despite the admonition to do so. Do a Find search for the Notis number.

    To locate a book on the web page, do a Find search for the Notis number, then just cut and paste the title into Luis. Locating the book in LUIS will tell you if it has an LC classification number or still has the Notis number.
  2. If it truly does have a Notis number, it will be shelved at the beginning of range 53 on the 2nd floor. Check the Hold and Reshelving shelves and the call slip box if it is not there.
  3. If not on the shelf, the cataloger could still have it or it could be on the To-be-processed or the To-be-cataloged shelf for rare books in the processing area. Check the Notis number sheet in the processing area. If the catalogers have the book, contact Tatiana.
